RIMOT PRIVACY POLICY

Overview

We are Rimot Inc. (“Rimot”, “we” or “us”). This Privacy Policy outlines how we collect, use and disclose information about an identifiable individual (“Personal Information”) when you use our website, https://rimot.io (the “Site”), or our services or software (the “Service”).

When you use the Service, you are using one or more of the following services: 1) the commercial operation and maintenance of remote networks and facilities (“RimotRF Service”), 2) management of facilities operations and management relating to health risk identification and trend analysis (“RimotHEALTH Service”), or 3) the RimotHEALTH questionnaire, facial temperature measurement, and/or QR Code Proof of Vaccination (POV service (“RimotHEALTH Screening Service”).

We offer the RimotRF Service, and the RimotHEALTH Screening Service to our clients (“Clients”) as a service and to the extent that we handle Personal Information in connection with those services, we do so as a service provider. The Client (which organization may, for example, be an end-user’s employer, or a health care facility), is responsible for the proper configuration of the Service, including what information is collected, how it is used and how long it is retained. The Client is also responsible for obtaining any necessary consent and generally complying with all laws and regulations to which the Client is subject, including data privacy laws. De-identified data derived from Personal Information (or other information that may not be used to identify an individual) is not regulated by privacy laws, but this Privacy Policy explains how we may use such de-identified data to improve the Service and for research purposes.

PLEASE READ THIS PRIVACY POLICY CAREFULLY BEFORE USING THIS SITE OR OUR SERVICE. We are committed to protecting the privacy and security of our Site visitors, and those who use our Service. By using the Site and/or Service, you consent to the collection, use and disclosure of your personal information for the purposes indicated. More information on our privacy practices is set out in this Privacy Policy. For information on our Clients’ privacy practices, please refer to their privacy policy or privacy statement.

If you do not accept our privacy practices, then you should not continue to use either the Site or the Service. This Privacy Policy is incorporated by reference into and forms part of our Service Agreement and End User License Agreement.

1. Collection of Personal Information

When you visit the Site or use our Service, we collect certain Personal Information from you, both directly and by automated means.

We also collect and use non-personal information (“Client Business Data”) on behalf of our Clients to provide technical services, which falls outside the scope of privacy regulations. This data may include operational data on remote site performance, weather observations, equipment logs and related information.

a. Directly collected information
We require certain Personal Information from Clients and end users in order to login, access and use the RimotRF Service and RimotHEALTH Screening Service (collectively referred to as the “Business Service”). For example, when you sign in to the Business Service, you are asked to provide your email address and a password. Depending on the services requested, we may ask you for contact information (such as your name and phone number), billing and payment information, or other information. When you are using the Business Services, we may also collect Personal Information from you through messages you send to our support or sales teams, or through your use of interactive tools.

Any time we collect Personal Information from you, we will advise you at or before the time of collection the purpose for the collection. If you decide not to provide certain information to us, or to withdraw your consent for our use of certain information, we will advise you of the effect that may have on our ability to provide the Business Service to you.

RimotHEALTH Screening Service
The RimotHEALTH Screening Service may be configured by Clients to collect and handle Personal Information. What Personal Information is collected, how it is used, with whom it is shared and for how long it is retained is under the control of the Client. The information collected through this Service is used to provide the RimotHEALTH Screening Service (specifically, screening of individuals for health matters using temperature readings), and more generally to improve the Service.

While the kinds of Personal Information collected and used by Clients will vary by Client and may evolve over time, generally information collected may include an end-user’s first and last name, responses to a Questionnaire, temperature readings, proof of vaccination (POV) verification (through scanning of a unique QR Code or otherwise), thermal facial images and facial maps, and information that may help an employer/other organization identify you for screening purposes.

Note that Rimot does not retain any facial images, and all such images are transitory records used to determine the accuracy of temperature readings and are purged from our system on a regular basis. Similarly, identifying information associated with any of the information collected through the RimotHEALTH Screening Service is deleted after 14 days, so that only non-identifying information (such as Questionnaire responses no longer tied to an individual user) remains available for our use in accordance with this Policy (as described in this Policy).

For the purposes of this Policy, a QR Code includes date of vaccine(s), first and last name of the individual, and location/jurisdiction where vaccine(s) were received. Proof of Vaccination (POV) is stored by Rimot as either a Valid or an Invalid POV (actual vaccination records are not stored) and is based on an individual’s vaccination status. Rimot does not collect or use any other personal information to confirm the identify of an end-user – this is instead under the control of the Client using the RimotHEALTH Screening Service.

A valid POV is when an individual has received at least two or more doses of any approved covid-19 vaccine. An Invalid POV is when an individual has received less than two doses of any of the approved covid-19 vaccines.

b. Automatically collected information
If you are visiting our Site or accessing our Business Service, we collect the following Personal Information provided by your browser or mobile device (“Usage Information”):

  • Pages accessed
  • Time of visit
  • Time of last visit
  • Name of the owner of the IP address
  • Reverse domain of the IP address
  • Referring site, application, or service, including the relevant search queries that led you to the Site
  • Browser information
  • Operating system and device information
  • IP address (from users signing into the service, for security purposes)

c. Media
If you upload images to the Site, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the Site can download and extract any location data from images on the website.

2. Purposes of collection, use, and disclosure

Rimot will identify the purposes for collecting Personal Information at the time or before the information is collected. We collect Personal Information for the following purposes:

a. To provide the Service to you

  • We use your Personal Information for maintenance and enhancement of the Service, to provide support and to prevent or address technical or security issues.
  • You are free to refuse our request for your Personal Information, with the understanding that we may be unable to provide you with some of the Service without this information.

b. To communicate with you

  • We may send you messages and notifications related to the Business Service. These include notifications that are part of the Business Service. You can control what these notifications are and when to receive them. We also send administrative messages regarding the Business Service, technical status updates and other related notifications.
  • We may also send you messages or call you regarding new Business Service product features and helpful tips on using the product and to offer training and support.
  • We will only retain Personal Information for as long as necessary to provide you with the Service.

c. For payments and billing
We collect payment and billing data from Clients for fulfillment of payments for the Business Service.

d. For improvement of the Service and analytics
To help improve the Service, the Site and to develop new features and functionality, we collect and analyze Usage Information. We also process Personal Information for analytics purposes in aggregated or anonymized form.

e. Legal basis
We process or use Personal Information only where:

  • It is necessary for providing the Service.
  • It is necessary to comply with a legal obligation.
  • It is in legitimate interests of Rimot, but not in conflict of your rights as a user of our Service.

f. For contact Tracing Purposes

  • For the purposes of providing the RimotHEALTH Screening Service, we retain Personal Information for up to 14 days; this allows us to go back and review the collected data to identify and inform an individual/Client of a potential health risk exposure.

How a Client uses Personal Information is under the control of the Client.

3. Cookies and tracking

We use cookies on our Site and applications.

Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your Web browser (if you allow) that enables the site or service provider’s systems to recognize your browser, capture and remember certain information. We use cookies to compile aggregate data about site and application traffic and interaction so that we can offer better experience and tools in the future. We may contract with third-party service providers to assist us in better understanding our site visitors. These service providers are not permitted to use the information collected on our behalf except to help us conduct and improve our business. If you leave a comment on our Site, you may opt-in to save your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this Site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this Site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

4. How long we retain your data
Rimot will retain Personal Information under its control for no longer than is necessary for the purposes for which the Personal Information was collected. When this Personal Information is no longer required, it shall be destroyed, erased, or made anonymous.
5. What rights you have over your Personal Information

You can access and request changes/corrections to your Personal Information by sending a written request to info@Rimot.io, or by logging into your account and making any necessary changes. If we are handling your Personal Information as a service provider to one or more Clients, those clients are custodians of that Personal Information, so we will refer you to them to exercise these rights. We will respond to your request within 30 days. If you have an account for the Business Service, you can request a copy of the Personal Information we hold about you, including any information you have provided to us. You can also request that we erase any Personal Information we hold about you. If you seek to exercise your access or correction rights, we may require additional information to confirm your identity. This information will only be used for this purpose. This does not include any information we are obliged to keep for administrative, legal, or security purposes.

If you have an account on our Site and use our Business Service, we store the Personal Information you provide in your user profile. Website administrators can also see and edit that information.

6. Disclosure of your Personal Information

Visitor comments may be checked through an automated spam detection service. Data may also be sent to data analytics partners such as Hubspot.

We do not share or disclose your Personal Information unless prior consent has been obtained from you.

We may disclose Personal Information if we reasonably believe disclosure is in accordance with or required by any applicable law, regulation, or legal process.

We also may use or disclose Personal Information in order to:

  • protect Rimot from fraud, abuse or other criminal activity
  • protect Rimot rights and property against third-party claims
  • enforce our contracts and policies
  • protect rights and safety of others

Third-party services

We may employ third-party companies and individuals on our Site or for enhancing our Service – for example, analytics providers and content partners such as LinkedIn or Google, or, providers of employee access systems such as HID Global. These third parties have access to your Personal Information only to perform specific tasks on our behalf and are obligated not to disclose or use it for any other purpose. We do not share or disclose your Personal Information to third parties except in the following situations:

a. User instructions or consent
Personal Information may be disclosed to third-parties if we are explicitly instructed to do so by you, or with your consent.

b. Third-party service providers
We may engage third-party companies service providers or business partners to process our data and to support our business. These include server and hosting providers, payment processors and Client service and management tools. Up-to-date list of our sub processors is available on request from info@Rimot.io.

c. Change of ownership
We may disclose Personal Information to allow a change of ownership of Rimot (including, but not limited to, an acquisition by or merger with another company) and related transfer of all such information to the new owner, in which case any information remains subject to this Privacy Policy

7. How we protect your Personal Information
We take security seriously and do what we can within commercially reasonable means to protect your Personal Information from loss or theft, as well as unauthorized access, disclosure, copying, use or modification. That said, understand that no method of electronic transmission or storage is 100% secure and we therefore cannot guarantee the absolute security of your Personal Information.
8. What data breach procedures we have in place
We protect your data from breaches with the latest technologies using monitoring and firewall services. If we determine there has been a breach of Personal Information, we will comply with all applicable privacy laws with respect to notification, and our contractual commitments to our Clients.
9. Links to Other Sites
Our Site may link to external sites that are not operated by us. Please be aware that we have no control over the content and practices of these sites and cannot assume responsibility for their treatment of your personal information. This Privacy Policy only applies to our Site and Service.
10. Changes to our Privacy Policy
At our discretion, we may change our Privacy Policy from time to time. Any changes will be reflected here, so we encourage you to visit this page regularly. The date of the latest update will be included in the Privacy Policy. Your continued use of this Site or our Service after any changes to this Policy will be regarded as acceptance of our practices around privacy and Personal Information.
